The Challenge

A hospitality inventory auditing operation was spending 45-60 minutes per venue manually generating each client report. The process involved manually extracting data from the auditing platform's PDF and CSV exports, formatting HTML cover emails with the venue's grade, gross margin, and colour-coded variance analysis, writing SMS summaries for mobile reference, creating Gmail drafts for review before sending, and tracking report history in spreadsheets.

With 14 venues producing reports bi-weekly (beverage) and weekly (kitchen), this consumed over 10 hours every week — time needed for actual auditing and client consultations. The quality was also inconsistent: some reports were more thorough than others depending on how much time was available, and there was no centralised history to track venue performance over time.

The Solution

I built an AI-powered report generation system using OpenClaw sub-agents that automates the entire workflow from file drop to Gmail draft.

Automated File Processing: Export files — PDFs and CSVs — are dropped into venue-specific Google Drive inbox folders. The system detects complete file sets automatically, spawns a dedicated sub-agent, and processes the data.

Intelligent Analysis: The AI applies materiality thresholds — only reporting liquor variances above 5% and beer variances above 1% — to eliminate noise. It detects cross-ringing patterns where POS substitutions explain apparent variances. It reads the venue's letter grade directly from the PDF and pulls prior period data from the database for trend comparison.

Professional Report Generation: Each report is generated as an HTML cover email with colour-coded variance values (red for losses, green for overs), structured by product category with volume measurements. The system also creates a plain-text SMS summary and a Google Doc for archival.

First-Person Voice: Every report reads as if personally written to the client. The AI maintains professional tone and personal relationships with each venue — greeting specific contacts by name and referencing their venue type for contextual analysis.

Full Workflow Automation: After generating the reports, the system creates a draft in Gmail for final review, logs metrics to a SQLite database, and moves processed files to dated archive folders.
